Accounting I/Purchasing Specialist

Job Description: Under the direction of the Controller, serves as a cashier and performs technical accounting functions for the Business Office. This position is also responsible for performing technical functions in the processing and expediting of purchase orders.

Qualifications: Knowledge of: Principles and practices of PC’s and related software including spreadsheets and word processing; accounting principles practices and laws, general statutes, rules, and regulations governing community college accounting processes, purchasing laws, rules and regulations; financial and accounting support functions. Ability to: Communicate effectively verbally and in writing; process and complete accounting tasks with accuracy; establish and maintain effective working relationships with students, vendors, the general public, and other governmental officials; compile, evaluate, and reconcile a variety of accounting records and reports.

Essential Duties: Cashier duties, assists with registration, runs mail daily, close-out and reporting of mail activity monthly, prepares bulk mailing for distribution, processes E-Procurement orders for the Business Office, processes maintenance utilization reimbursements reports monthly, distributes copies of purchase orders to appropriate parties, assigns inventory numbers and assists in tagging of equipment, receives and prepares goods for distribution, updates receipts of goods in the system, prepares and scans purchase order packets, prepares packets for payment processing, tracks status of orders with vendors to insure timely delivery, verifies and disburses supplies from the Central Store, serves as back-up to the bookstore and mail courier. Assists with year-end close out and annual financial audits. Serves on institutional committees as appointed.

Education and Experience: Associate degree in accounting or business administration required. Minimum of at least one (1) year of experience in an automated accounting environment required.
